NeatWorks Tutorial - Folder Basics
Welcome to the NeatWorks tutorial on Folder Basics. In NeatWorks, receipts and documents are organized and filed in folders, which you create and customize according to your needs. Let’s get started!
Your folders and filing system should be set up to reflect the different types of expenses or documents you need to store, organize and manage. You can create as many folders as you like, and the naming convention is completely up to you. There is no right or wrong way to organize your folders – you can create folders by client, project or business trip or by expense month and year.
There are two ways to create a folder: either from the Inbox, to file receipts or documents that were recently scanned… or from within the Receipt or Document Organizer, by clicking New.
First, let’s create a folder from the Inbox and file a receipt.
Name the folder and add details. Think of Folder Type as a drawer in a filing cabinet and Folder Name as one of the hanging folders in the cabinet drawer.
In this example, this folder is for business expenses related to Project 2536.
Folders and their contents are accessible from the Receipt and Document Organizers.
Folders are represented by rows. You can add more details, such as client and purpose information, to make it easy to search your folders and locate items in the future. Click on a folder to view its contents. The contents of each folder are displayed in the receipts grid.
To view an item in the folder, click on it. An image of the receipt will display along with the associated data and information. All fields are editable. Be sure to add as much detail as possible as it will make it easier to search receipts and run reports, when necessary.
Running totals for each folder are provided so you can quickly manage and track your expenses.
Wasn’t that easy? So to recap, just as you would create a Word document on your computer and save it to a specific folder…you scan items into NeatWorks and save those items to a specific folder.
And, just as a drawer in your filing cabinet and the hanging folders in that drawer help you organize your information, the Folder Names and Types in NeatWorks are designed to do exactly the same thing – and all in a few quick and easy steps.
