Yes this is a problem for myself as well. There are other post in this forum stating this problem. I haven't seen a solution yet. I have just turned a blind eye on this, hoping the developers at Neat are working on a solution.

Time Machine. Which backs up everything on your computer and makes incremental backups based on changes made to files. The data file for N/R is .nrmlib. I'm pretty sure its default location is the documents folder.

Time machine works almost perfect. Time machine is a backup application built into MAC OS 10.5. I have it set up with an apple time capsule (1TB) and I have on two or three occasions permanently deleted receipts (on accident) from NWorks. I'm hoping Neat will follow-up with a fix in the future that will go back and slim these files down. I think I have in the neighborhood of 1200 receipts and maybe like 400 documents. This yields a library 1.4 GB. Seems large to me. All my receipts are b/w and my docs are generally scanned in color.

I don't typically use smart collections, so after reading your post I thought I better try it out. I found that the smart collection feature really doesn't have the same interface as (for example) itunes does.
At any rate, to do what you are describing this is what I did:

Don't know about the legalities, but I've done it in the past. I think I had better luck with the library file on my mobile me account and then have the app on my imac and macbook point back to that file. I did try keeping the file on my imac and then access that from both the air and imac. It's been awhile but I recall ...
