Ever Notice that the paper reciepts from Home Depot fade to blank in six to eight months, Or ever try to lookup a purchase with them without a reciept. I scan all of the reciepts into a business expense folder and record the transaction number of the reciept into the memo field of my Quickbooks bill or credit card data entry form. I then use the transaction number as a key into neat reciepts using the search function. This works great for me and makes the whole process unified as the scanned image lookup key is stored in Quickbooks and NeatReciepts. My Clients, Attorneys and Sub Contractors are impressed when I can not only have accurate accounting of a project but I can just as easily give them a cd with all of the reciepts on it just to make a case for payments to be made or profitds to be shared. This method works with sworn statment problems as well.
Look at any Home Depot reciept you will see a number such as 2704 56 87789 printed and barcoded on the reciept. This is the key you need to search on. Hope this tip helps you deal with the many paper mangement problems faced by Builders, Contractors and sub contractors. Think about time slips or site material delivery slips too, you get the idea I am sure.
